3.1. Abstract

This document describes how Antilope records can be exchanged:

  • Download of records for inclusion in a local catalogue

  • Supply of records for upload in Antilope

3.2. Introduction

Antilope is the Belgian union catalogue of periodicals held by the Royal Library and other university, research and special libraries in Belgium. From a local Antwerp catalogue with editions in 1973, 1975 and 1977 Antilope developed in 1981 into a national union catalogue, under the direction of the Conference of University Librarians, which has been adopting the objectives of the Antwerp catalogue together with its name.

3.3. How to access the Antilope catalogue

The Antilope catalogue can be accessed

3.5. Download procedure

The second Sunday of each month the Antilope records are exported from the database in MARC21 XML-format. These files are available from https://anet.uantwerpen.be/antilope. Here you will find:

  • antilope.xml

    The records in this file are all MARC21 records. Special attention for following elements:

    • <controlfield tag="001">

      Controlfield 001 always contains the unique identifier of the Antilope record. This identifier has the form c:lvd:n were n is a number.

    • <datafield ind1=" " ind2=" " tag="852">: datafield 852 contains the journal locations and holdings and has the following subfields:

      • <subfield code="a"> Mandatory: contains the acronym of the library holding the journal. All valid acronyms can be found in https://anet.uantwerpen.be/antilope/acronyms.csv

      • <subfield code="b"> Mandatory: contains a code identifying the collection to which the journal belongs.

      • <subfield code="c"> Mandatory: contains the call number of the journal.

      • <subfield code="3"> Contains a general statement with regard to the holdings of the journal.

      • <subfield code="g"> Contains a record number identifying the journal record in the catalogue from which the record originates. When journal records are uploaded in the Antilope catalogue, the local record identifiers are kept and stored in this subfield. This number can consist of two parts separated by a dot e.g. 1234.5678. The left part identifies the bibliographic record number from the originating database. The right part identifies the holding. If there is no holding identifier, the right part remains undefined.

    • Antilope records do not contain any subject classification, nor are the locations of e-journals included.

  • lgcodes.csv

    Antilope records may contain language independent codes between < and >. The meaning of these codes is given in the table lgcodes.csv. This table has the following columns.

    • code as present in the XML records

    • contains either N (Dutch), E (English) or F (French)

    • expression of the code in Dutch, English or French

  • acronyms.csv

    This file contains all the valid library acronyms used in datafield 852 subfield a. Besides the acronym, the file also contains the address and the contact information for the library.

  • records.csv

    This file gives the matching between

    • New Antilope record number (format c:lvd:n)

    • Old Antilope record number (format 4.n)

    • ISSN number

  • holdings.csv

    This file gives the matching between

    • Antilope record number (format c:lvd:n)

    • Antilope holding identifier (format p:lvd:n)

    • Library acronym

    • Call number

    • Collection identifier

    • Holding statement

    • Holding identifier (source database)

    • ISSN number

    • Title

  • timestamp

    This file contains the production timestamp (in ISO format) of the Antilope XML file. This timestamp can eventually be used to check for new versions.

3.6. Upload procedure - Timing and financial aspects

  • Timing

    Files can be supplied during the months of October and November. Those who pass the parsing procedure without errors are uploaded and the institution's records are incorporated into the Antilope Catalogue. Files that don't pass the parsing procedure are send back to the institution to be reviewed. We commit ourselves that files will be uploaded during the months of November and December.

  • Financial aspects

    No costs are involved when files are supplied in the correct format. If extra software development is needed to upload the file, Anet will charge the institution based on an ad hoc offer. Manual upload procedures are charged at a rate of EUR 2,50 a record.

3.7. Upload procedure - MARC21 XML records

The Antilope upload procedure uses the same MARC21 scheme as used for the download procedure. During uploading Anet tries to match/merge the supplied record with the existing Antilope record. Anet therefor asks participating libraries always to include the Antilope record number or the ISSN number in the supplied record.

  • ISSN-number

    Always give the ISSN-number in subfield a of datafield 022 e.g.

  • Antilope record number in your local catalogue

    To help Anet in match/merging records we kindly ask participants to include the Antilope record number when supplying records to Anet. To facilitate this Anet provides a table giving the matching between old Antilope record number, new Antilope record numbers and ISSN-number. You can find this table as a csv file at https://anet.uantwerpen.be/antilope/records.csv . You can also use this table for changing the old Antilope record numbers in your local catalogue.

  • Journal holdings

    <datafield ind1=" " ind2=" " tag="852">: datafield 852 should contain the journal locations and holdings. Use the following subfields:

    • <subfield code="a"> Mandatory: contains the acronym of the library holding the journal. Use only valid acronyms. These can be found in https://anet.uantwerpen.be/antilope/acronyms.csv

    • <subfield code="b"> Mandatory: contains a code identifying the collection to which the journal belongs. The content of this field can take two values

      • z (default value)

      • d (for depot journals such as defined e.g. within the VOWB Biomed project)

    • <subfield code="c"> Mandatory: contains the call number of the journal. If there is no call number, you can supply - [hyphen]

    • <subfield code="3"> contains a general statement with regard to the holdings of the journal.

    • <subfield code="g"> contains a record number identifying the journal record in your system. When journal records are uploaded in the Antilope catalogue, the local record identifiers are kept and stored in this subfield. This number can consist of two parts separated by a dot e.g. 1234.5678. The left part identifies the bibliographic record number from the originating database. The right part identifies the holding. If there is no holding identifier, the right part remains undefined.

    • <subfield code="z"> contains a general note with regard to the holding.

  • Library acronyms

    Always use a valid library acronym in datafield 852 subfield a. All valid acronyms can be found in https://anet.uantwerpen.be/antilope/acronyms.csv. Contact helpdesk@anet.be if the file does not contain an acronym for your library. A new acronym will then be defined for you.

  • E-journals

    You can supply the url of the e-journal in tag 856 subfield u. Also provide an identifier of the publisher in subfield n. Example

3.8. Upload procedure - CSV files

You can also supply Antilope records in a csv-file. This file is then used to match/merge records with the existing catalogue. Anet therefor asks participating libraries always to include the Antilope record number or the ISSN number in the supplied record.

For csv files we ask to supply the files with the following specifications:

  • delimiter (field separator): ;

  • lineterminator: rn

  • quotechar: "

  • doublequote: True ( Controls how instances of quotechar appearing inside a field should be themselves be quoted. When True, the quotechar character is doubled)

  • characterset: ISO-Latin-1 or UTF-8

  • Maximum number of author names: 3

  • The first row must always contain the field names

Identifier

This section contains a pair of values: id*_type and id*_content. If both fields are left empty, the record is considered to be a new record and the record is automatically added to the Antilope catalogue. If the field is not empty, the upload software will try to match the supplied record with the existing Antilope catalogue based on the Antilope record number or the ISBN number.**

Contains the type of record identifier. Always use one of the following values

  • antilope: antilope refers to the Antilope record number as displayed in the Antilope catalogue (https://anet.be/opac/opacantilope. This number takes the form c:lvd:nnnnnn and can be found on top of the full record display

  • issn

  • isbn

  • local: local refers to your local record number/identifier
